Get laptop screen to project on TV
Search System preferences
Click “Displays”
Click AirPlay Display
Choose Laptop
2. Connect to Owl audio and video
Click arrow in upper right corner of microphone and video icons (bottom left corner of Zoom)
Select Meeting Owl for microphone, speaker, and camera
3. Sign in to Zoom & Start Meeting
Open up Zoom
Sign in to Spring Church’s Zoom account

Start meeting
Make sure that “Use my personal meeting ID (PMI)” is checked (drop-down arrow next to “New Meeting”
Admit Zoom Pilot (if separate from engineer)
Things to be aware of during the hybrid gathering
— Make sure gallery view is shown on TV screen (“View” box in upper right corner of screen)
— Click box in upper right corner of anyone’s screen and choose to hide all participants not showing video
— You have to leave physical room if you want to talk to Zoomies on your computer. Otherwise, just talk to them through the Owl
Troubleshooting
If we stall or close out, just restart the meeting
Great thing about a PMI is that Zoomies know where to go to rejoin
If Owl option won’t show up for mic, speaker, camera then unplug adapter and replug
Managing the Owl
Volume for the Owl is on the Owl, not on the computer or the TV.

Pilot Preparation
Get Set up on Zoom
Sign in to your personal Zoom account or Spring Church’s Zoom account.
Enter Meeting ID: 2536513637
Wait to be let into meeting if separate from engineer
2. Get slides ready
Pull up slides for gathering (See “Slideshow” link above
Click “Present” (in the upper right corner of Canva)
Move the cursor to the bottom of the screen until the toolbar pulls up, and click Zoom icon
During Hybrid Gathering
Notes if you’re in person
Mute yourself to avoid audio feedback
Turn off video when gathering starts
As Zoomies are Entering
Pull up Participants (bottom of Zoom screen)
As people enter, click “Admit” to let them in.
Click drop down arrow next to any participants name
Can rename
Can make host / co-host
Can mute and ask to unmute as needed
Screen Share
To share slides
Click “Share Screen”
Look for image of slides
Click right side of slides to advance slides and left side of slides to go back.
You can pause screen share to look at other slides while presenting
Click “Pause Share” in toolbar on top
Click forward or backwards in slides
When you click “Resume Share” it will share whatever slide you are currently on.
To stop sharing screen
Click “Stop Share” (red button at top of screen)
Move the cursor to the bottom of the screen until the toolbar pulls up, and click Zoom icon
To share screen with audio
Click “Share Sound” in bottom right corner
Leave physical room if in person to play audio
Play audio/video clip.
When done sharing audio/video clip, first stop audio, then click “Stop Share”
Make sure slides are back in “Present” mode before going back to Zoom
Move the cursor to the bottom of the screen until the toolbar pulls up, and click Zoom icon
Note: During screen share the toolbar at top allows you to view participants and chat as needed.
Breakout rooms
Click “Breakout Rooms” at bottom of screen
Create 1 breakout room
Choose “Assign Manually”, then “Create”
Click setting icon (gray icon in bottom left corner)
Choose “Allow participants to return to the main session at any time”
Choose “Countdown after closing breakout rooms”
Set countdown timer to 30 seconds
Leave all other options unchecked.
Click “Assign” next to “Room #” to assign participants
Click checkbox next to each participant
Make sure that the in person Spring Church computer is not in a breakout rooms
When ready to open breakout rooms
Click “Breakout Rooms” icon
Click “Open All Rooms”
When ready to close breakout rooms
Click “Breakout Rooms” icon
Click “Close All Rooms”
This will start 30 second countdown
